Responsible for planning and hosting engaging events for guests and industry partners

 

Overview

We are looking for an Event Manager to plan and execute a variety of events, ensuring all logistical and organizational aspects are handled seamlessly. This includes managing event locations, coordinating guest lists with industry partners, and overseeing the setup of information materials. Additionally, the role involves designing and selecting merchandise annually, as well as handling orders and distribution. The ideal candidate will ensure smooth event operations while delivering exceptional experiences for all attendees.

Duties & Responsibilities:

  • Plan, organize, and execute events from concept to completion
  • Select and manage event locations, ensuring they meet logistical and branding requirements
  • Coordinate the setup of information materials at event venues
  • Manage guest lists and liaise with industry partners for attendance and participation
  • Design, select, and order event merchandise on an annual basis
  • Oversee the distribution of merchandise during events
  • Ensure smooth event operations and troubleshoot any issues that arise during execution

Qualifications & Skills:

  • Experience in event planning or coordination (e.g., internships or student projects)
  • Strong organizational and multitasking abilities
  • Good communication and teamwork skills
  • Attention to detail in event setup and material preparation
  • Creative thinking for designing and selecting merchandise
  • Fluency in English and German (written and spoken)

Workload

The expected workload is estimated to be around 3-5 hours per week, with approximately one or two hours dedicated to meetings and the rest to individual or group work. Apart from the fixed weekly team meeting, you will be able to completely dispose of the remaining time at your discretion (while respecting deadlines). While preparing for the competition, the workload may increase over a short period of time.

Workplaces

We provide an office and workplace in Zürich at ETH’s Student Project House (SPH) and in Dübendorf. From day one, you can work independently and take responsibility for your duties and deliverables. Since the team’s meetings are mostly online, you will be able to work remotely on your tasks, utilizing necessary resources from other team members independently. However, certain events like the general assembly or sponsoring events require your physical attendance.
